Are you our next Administrative Assistant Sr?
The Administrative Assistant Sr will be responsible for providing administrative support to the Vice President, Controller, Vice President, Internal Audit, Vice President, Treasurer and their respective teams. Responsibilities will include handling confidential material and assisting with day-to-day workflow including mail, e-mail, scheduling, travel arrangements, expense reporting, phones, etc. This individual will add value as a member of the business unit through strong administrative, organizational, technical and communication skills.
What will you do?
Provide administrative support to the Vice President, Controller, Vice President, Internal Audit, Vice President, Treasurer and their respective teams.
Prepare correspondence, which will include first drafts of memos, presentations for various projects and initiatives, e-mail, voice mail, copying, filing, faxing, scanning, and handling of confidential material.
Coordinate schedules (calendars, meeting attendance, conference calls, etc.). Develop, proof and format correspondence (including internal memos, reports, and presentations) using Microsoft Word, Excel and PowerPoint. Process invoices for payment through existing internal processes.
Make travel arrangements (domestic and international) and arrange for visas. Prepare and submit expense reports.
Schedule and coordinate all aspects of small to large business meetings (internal office conference rooms/ off-site locations, meals, materials, supplies, etc.).
Prepare audio equipment for meetings.
Prepare and submit expense reports.
Additional projects and responsibilities as required.
What do you need for this role?
High School Diploma or GED required.
5+ years of prior executive administrative experience.
Advanced expert skills in Microsoft Word, Excel, PowerPoint and Outlook required.
Candidates with Maximo experience preferred.
Excellent verbal and written (especially grammar and proofing) communication skills.
Strong listening skills.
High level of tact and ability to handle confidential and sensitive information.
Excellent teamwork and interpersonal skills.
Strong decision making and problem solving skills.
Strong organizational and time management skills.
Strong attention to detail and follow up.
Ability to adapt to a continually changing business and work environment and manage multiple priorities.
Ability to effectively work with employees at all levels within the organization.
