Are you our next Senior Administrative Assistant?

The Senior Administrative Assistant will assist with day-to-day workflow and administer key business applications for Mosaic’s Law Department. Responsibilities will include handling confidential material; general administrative support; and making arrangements for meetings, travel and conference calls. This person will add value as a member of the department through strong administrative, organizational, technical and communication skills.

What will you do?

Administrative Support

  • Correspondence, e-mail, voice mail, copying, filing, faxing, scanning, and handling of confidential material.

  • Schedule coordination for attorneys in the Law department.

  • Proofing and formatting work product, including internal memos, reports, and presentations using Microsoft Word, Excel and PowerPoint as well as legal and governmental documents related to permitting, reclamation, land management, and any other Mosaic operations that necessitate the Law Department’s legal involvement.

  • Administer key business applications maintained by the Law department, including Blueprint subsidiary administration database and Nasdaq Boardvantage portal.

  • Provide support for Mosaic’s Board of Directors meeting planning process, including preparation and dissemination of meeting materials and other meeting support as requested, and maintenance of records related to Mosaic’s Corporate Secretary function using these business applications.

  • Make travel arrangements (domestic and international) for Mosaic staff, make arrangements for passports and visas, schedule conference calls and meetings, order catered meals, coordinate calendars, and assist in expense reporting as needed.

  • Serve as back up for other legal administrative staff as needed.

  • Organize and maintain department files, order supplies, and participate in miscellaneous departmental projects as assigned.

  • Act as back up for inter-departmental administrative assistants in their absence or work overflow.

  • Additional projects and responsibilities as assigned.

What do you need for this role?

  • High School Diploma/GED required

  • Associate or Bachelor’s Degree preferred

  • 5+ years of administrative experience required

  • Experience in a corporate legal department preferred

  • Advanced experts skills in Microsoft Office (Word, Excel, PowerPoint, and Outlook)

  • Ability to quickly learn new computer and business applications

  • Experience working with Nasdaq Boardvantage or similar board portal applications preferred

  • Excellent verbal and written (especially grammar and proofing) communications skills

  • Strong listening skills

  • High level of tact ad ability to handle confidential and sensitive information

  • Excellent teamwork and interpersonal skills

  • Strong organizational skills

  • Strong attention to detail and follow up

  • Ability to multi-task and is results oriented

  • Ability to adapt to a continually changing business and work environment and manage multiple priorities

  • Ability to effectively work with employees at all levels within the organization
